The Hidden Hours Behind a Seamless Wedding Bar

Weddings are not the same as parties, and the service requirements are completely different. Our standard BYO packages are designed for straightforward events where the bar setup is simple, bump‑in is minimal, and service flows without major logistical demands. Wedding service, however, is an entirely different operation. These packages are built specifically for large weddings and major events where full bar setup, extended preparation, and detailed pack‑down are essential. Every hour of labour matters, and if you try to run a wedding bar “on the cheap”, your guests will feel it — long waits, warm drinks, slow champagne service, and a bar team stretched too thin.


To give you an example, we recently serviced Adrian’s 160‑guest celebration. Before the event even began, we completed a site visit, had multiple phone calls and email discussions, and bumped in the day prior. Two staff spent nearly four hours on site unpacking all BYO stock, manually moving dozens of boxes, and building the bar from scratch. This is the reality of large events — and it’s important to ask yourself whether you truly have the time or capacity to do this on your wedding day. Relying on friends is never a safe plan; they’re not responsible for your logistics, and in our experience they often bail at the last minute.

On the actual wedding day, many clients ask us to collect the ice, which means arriving around 2.5 hours early to ice down every beverage — because no one wants warm beer or warm chardy. Then comes service timing, champagne coordination, staff management, and maintaining the bar throughout the night. And when the celebration is over, the work isn’t. The next day, there will be glasses everywhere, barware scattered, and leftover stock needing to be moved. While you’re still in bed recovering, we return to restore order, pack down the bar, relocate all remaining stock to your indoor location, and can even remove rubbish if required.
